People — staff, branches, roles and permissions
The People section is for administering staff accounts, branches, and roles & permissions. Access is restricted: typically only people who are allowed to create staff or manage roles see these screens.
Staff
- Staff — list and manage staff user accounts for your organization.
- Add staff — create new staff accounts following your onboarding checklist (identity verification, training, and least-privilege access).
Permission (plain language): “Create & manage staff” — users who can add or update staff accounts.
Employment start and confirmation
A staff record also carries an employment start date and a confirmation date. A recorded confirmation date means the person is confirmed; an empty one means they are still on probation, and probation restricts them to casual leave only. Six months after the start date an unconfirmed staff member is flagged Due for confirmation — a badge on the staff list and detail page, plus a one-off notification to HR. Nobody can change their own confirmation.
Confirmation normally happens by finalizing a probationary appraisal (Start confirmation appraisal on the staff record), not by stamping a date; editing the dates directly on the staff edit form is the backfill path for long-serving staff. See Appraisals.
The staff record page
Opening a staff member shows their record in three titled columns — Account (staff ID, role, status, two-factor state), Organisation (department, designation, branch, and who their leave routes to), and Employment (start date, confirmation status) — with the management actions (edit, reset password, block, change staff ID, start confirmation appraisal) along the top.
Below the record, the page is tabbed:
- Requests — everything this person has asked the company for, on one list: leave, cash advances, payment vouchers and retirements, newest first. Filter by request type (toggle the type pills), bound it by when the request was raised (the date range), and page through the full history; each row opens the request in the module that owns it.
- Appraisals — their appraisal history (visible to the HR appraisal desk).
- Permissions — the per-person permission overrides, with a search box that filters the list as you type (by name, key, or area). Administrators only.
- Activity log — this person's entries from the system activity log.
A staff member's department is edited here or from the department's own page under Admin → Departments — both paths are audited and both email the person about the change.
Branches
Branches lets you maintain branch records your organization uses for structure or reporting. Keep branch data aligned with official org charts and naming so reports stay understandable.
Permission: Usually tied to the same staff-management capabilities; confirm with your administrator.
Roles and permissions
Roles & permissions is where administrators define roles (such as a named job profile) and attach permissions to them. Staff are then assigned a role so they receive the right access without one-off exceptions everywhere.
Permission groups (what they mean in practice)
The product groups permissions into areas such as the following. Labels in the UI may vary slightly; this table explains the intent.

Special role: system administrator
There is a reserved administrator role with broad access (for example, some finance items such as Funds may be limited to this role). Only assign it to people your organization fully trusts with full control.
Good practices
- Least privilege: Give people the minimum permissions needed for their job.
- Named roles: Prefer well-named roles (“Front office — read only”) over ad-hoc permission mashups.
- Reviews: Periodically review who holds powerful permissions (finance approval, role management, staff creation).
